How do I export course and midterm grades to Jenzabar?
Instructors who are using UVACanvas and have permission to submit course grades in Jenzabar for one or more course rosters in their course site(s) can use the Export Grades to Jenzabar (Beta) tool to export their grades to Jenzabar. Grades can be submitted multiple times during the specified grading period.
Instructors are not required to use the Export Grades to Jenzabar tool to submit their grades; they can also be entered directly in Jenzabar (opens new window).
Important:
- Accessing Export Grades to Jenzabar (Beta) in multiple browser tabs or windows at the same time can cause unexpected behavior. Please do not open the tool in multiple browser tabs or windows, or multiple browsers or devices simultaneously.
- It is not recommended to use Export Grades to Jenzabar (Beta) on a mobile device.
Go to Export Grades to Jenzabar (Beta).
Select Export Grades to Jenzabar (Beta) from the Course Navigation Menu.
Note: An instructor or TA in the Canvas site who does not have permission to submit grades for a roster in Jenzabar will not be able to access Export Grades to Jenzabar (Beta). Please contact the Office of the Registrar (opens new window) if you cannot access the tool and you are the instructor of record.
Select Course Grades or Midterm Grades.
To review and submit grades to Jenzabar:
- Select the Course Grades tab for final course grades.
- Select the Midterm Grades tab for midterm grades.
Note: The steps below will remain the same if you are working in either tab.
Select the desired course roster.
Course and midterm grades are displayed and exported by course roster/section. Select a roster from the corresponding drop-down menu to review and export the associated grades.
Note: If your course includes multiple course rosters, you will only have access to export grades for rosters for which you have permission to enter grades in Jenzabar. If you have this permission for more than one roster in your course site, you will need to repeat the review and export process for each roster to submit all of your grades.
Review the calculated grades.
The display of the Grades tab may differ depending on whether or not a grading scheme has been enabled in the Canvas course site's Settings. If your Canvas site has a grading scheme enabled, skip to the step Canvas Course Grading Scheme Enabled.
Default Settings (No Canvas Course Scheme Enabled)
Each student enrolled in the selected course roster will be displayed, alongside their assigned grading scheme (GS), grade from the Canvas Gradebook, current course or midterm grade, and current submitted course/midterm grade in Jenzabar.
- The Gradebook Grade column displays each student's numerical score from the Total column in the Canvas Grades tool (or from the Override column, if an override has been entered).
- The Course Grade or Midterm Grade column lists the corresponding letter or other grade. By default, this grade will be determined based on the grading scheme or scale assigned to the student in the Export Grades to Jenzabar (Beta) tool.
- The Submitted Course Grade or Submitted Midterm Grade column lists the student's currently submitted score in Jenzabar.
Note: Grading schemes are the scales on which course grades are based. The grading scheme in Export Grades to Jenzabar (Beta) is GS (Grade Scale), which uses a letter grade scale of A-F.
Canvas Course Grading Scheme Enabled
Each student enrolled in the selected course roster will be displayed, alongside their assigned grading scheme, grade from the Canvas Gradebook, the student's current course or midterm grade, and their last submitted course/midterm grade to Jenzabar.
- The Gradebook Grade column displays each student's numerical score from the Total column in the Canvas Grades tool (or from the Override column, if an override has been entered). The letter grade shown in the Canvas Gradebook will be displayed in parentheses next to the numeric score, for example, "90.0 (A-)."
- The Course Grade or Midterm Grade column lists the corresponding letter or other grade. By default, this grade will be determined based on the grading scheme or scale assigned to the student in the Export Grades to Jenzabar (Beta) tool.
- If the letter grade in the Canvas Gradebook differs from the current Course Grade or Midterm Grade that was calculated based on the grading scheme in Export Grades to Jenzabar (Beta), a flag icon will be displayed, indicating the grade mismatch. In the example pictured above, the Gradebook Grade is a B but the Midterm Grade is a B+.
Note: Grading schemes are the scales on which course grades are based. The grading scheme in Export Grades to Jenzabar (Beta) is GS (Grade Scale), which uses a letter grade scale of A-F.
Adjust grading schemes. (Optional)
The grading scheme is set by UVA's College at Wise, but may be adjusted in accordance with school or departmental guidelines or at the instructor's discretion. To adjust the scheme or scale, select the Schemes tab and follow the steps in How do I update the grading scheme in the Export Grades to Jenzabar (Beta) tool? (opens new window)
Important: Grading schemes enabled in the Canvas course site's settings (opens new window) are not reflected in the grading schemes in the Export Grades to Jenzabar (Beta) tool. In order for the tool to calculate course grades using modified grading schemes, you must follow the step above and adjust them in the Schemes tab.
Select grade overrides. (Optional)
To override the course grade for a particular student, select the desired grade in the Course Grade or Midterm Grade drop-down menu. In the example above, a students grade was changed to a D+ from the original grade of D.
Select the checkbox for the student(s) you want to export grades for.
In order to export any grades, the instructor will need to select the checkbox to the left of the student(s) they want to export grades for.
- To select all students, choose the Select all rows checkbox in the table header.
- To select individual students, select the checkbox next to each student's name.
When a student is selected, the checkbox next to their name will be filled with a checkmark and the row will be highlighted blue.
Export the selected grades.
After reviewing and confirming the accuracy of the course of midterm grades for the selected course roster, choose the Export Selected Grades button.
Review the message and select Export.
Review the message that appears. Select the Export to export the grades and confirm the following statements:
- The grades being submitted accurately reflect the students' course or midterm grades, and
- You acknowledge the grades must be exported to or entered into Jenzabar by the end of the grading period specified in the message.
Grades submitted.
If the export is successful, a confirmation message will be displayed that includes the number of grades and the roster exported. Select the OK button to close the message.
View the exported grades.
Once the grades have been successfully submitted to Jenzabar, the Submitted Course Grade or Submitted Midterm Grade column will display the current submitted grades for each student. If Jenzabar doesn't have a grade for a student, the student will have a - (dash) in this column.
Review and export grade changes for students (if applicable).
If grades have changed for any students since the last time you submitted their grades to Jenzabar, their Course Grade or Midterm Grade column will not automatically update from the last submitted grade. You will need to change their grade in the Course Grade or Midterm Grade column before selecting them and exporting their grades again.
In the example above, one student's grade in the Canvas Gradebook increased to a 90, which is an A- in this course. Since the last submitted grade to Jenzabar for that student is a B+, the Midterm Grade column still shows a B+. If the instructor wants to export an A- to Jenzabar for this student, they would need to change the B+ in the Midterm Grade column to an A-.
Review and export grades for more students.
- To review and export grades for students in an additional roster, select it from the Select a roster drop-down menu and repeat the steps above.
- To submit grades for any students who don't have a Submitted Course Grade or Submitted Midterm Grade, repeat the steps above.
