How can I use a file from the Shared Repository in a course?
The Shared Repository in Kaltura My Media and Media Gallery is a space where instructors, graduate students, librarians, and instructional designers can publish media files to make them available to all instructors in either UVACanvas or UVACanvas Connect. Any instructor can publish files from the Shared Repository in their course's Media Gallery or embed files from the Shared Repository in their Canvas course site.
This article describes how to add content from the Shared Repository to a course in one of the following ways:
- Publish a file from the repository in a course's Media Gallery
- Embed a file from the repository in the Rich Content Editor
- Add a file from the repository to a module
Open the section below corresponding to the way you would like to add content to your course to display the step-by-step instructions.
Note:
- You must be included in a Canvas course site in an administrative role to publish content from the Shared Repository in the course.
- The Shared Repository is available for the main UVA instance of Kaltura in UVACanvas and UVACanvas Connect. McIntire Kaltura does not include a Shared Repository because the McIntire School of Commerce has other options available for sharing media among instructors.
Publish a file from the Shared Repository in a course's Media Gallery.
Access the Media tab.

If any playlists have been created in the course, the Playlists tab will display as the first page. If this is the case, select the Media tab to go to it.
Note: The Media tab will display with the number of files currently included in it, for example, 6 Media.
Select Add Media.

Note: On mobile devices or small screens, the Add Media button displays as a plus (+) icon.
Select the Shared Repository.

On the Add Media page:
- Select 1 Shared Repository.
- Select Shared Repository (UVACanvas) or Shared Repository (UVACanvas Connect). The name of the option will indicate whether you are accessing the repository within UVACanvas or UVACanvas Connect.
Search the repository.
- In the Search box, enter terms to search for files in the repository.
- By default, the search applies to All Fields, including the file's Name, Description, Tags, and Captions. You may use the Filters to limit the search results.
In the example pictured above, the word "English" is being used to search for an audio file of Robert Frost reading his poems that has a tag of "English".
Select and publish the file(s).
- Select the checkbox for each file to publish.
- Scroll up near the top of the screen and select Publish.
Note: If you select the file's thumbnail or name, you will be taken out of the Add Media page to play the file. If you would like to preview a file in the repository, we recommend right-clicking (in Windows) or Control-clicking (on a Mac) on the file's thumbnail or name to open this preview in a new browser tab or window.
Embed a file from the Shared Repository in the Rich Content Editor.
Go to the page where you will embed the media.

The Rich Content Editor is available on most pages in Canvas where text can be added. For example, you may use the editor to create a page in Modules, create or submit an assignment, or make a discussion post.
Pictured above is where an instructor can find the Edit button on a Week 1 Readings page to add an audio file from the repository to that page.
Position your cursor in the editor.

Position your cursor where you want to embed the media.
Tip: It is recommended to add some text in the editor above the media to give it context.
Select Embed Kaltura Media.
Select the Embed Kaltura Media button in the editor's toolbar. The button looks like a multicolored sun.
Note: If the Embed Kaltura Media button does not appear in the editor's toolbar, you can find the option by following the steps in How do I select content from an external app in the Rich Content Editor? (opens new window).
Select Shared Repository.

An Embed Kaltura Media dialog window will pop up. In this window, select the Shared Repository tab.
Search the repository.

- In the Search box, enter terms to search for files in the repository.
- By default, the search applies to All Fields, including the file's Name, Description, Tags, and Captions. You may use the Filters to limit the search results.
In the example pictured above, the word "English" is being used to search for an audio file of Robert Frost reading his poems that has a tag of "English".
Embed the file.
You may either embed the video, audio, or image file with the default player settings, or edit the settings before embedding it to customize the player.
To use the default settings, select Embed.

The default settings for each type of media are listed below.
- Default video player: Video Player with Transcript with a Max Embed Size of 720x450.
- Default audio player: Audio Player with Transcript with a Max Embed Size of 400x134.
- Default image player: Image Embed with a Max Embed Size of 608x402.
Select the Embed button for the file to confirm embedding it with default settings. Skip to the step for viewing the embedded file.
To modify the player settings, select Embed Settings.

Select the Embed Settings (cog) button for the file to be able to select the type of player to use for embedding the media. For example, you will be able to choose whether or not to have a transcript displayed when a video or audio file is captioned, and the size of the embedded media player.
Select settings, then Embed.

- You will be taken to a page to choose your settings. Change these settings as desired.
- Select Embed to confirm embedding the media.
Tip: Embedding a Player with Transcript is recommended for video and audio accessibility. For more information, see How can I use a transcript in Media Gallery? (opens new window).
Note:
- By default, the checkbox Set as my default settings for media type: will be selected. Keeping this box checked will change your default embed settings for the type of file you are embedding (video, audio, or image) to the settings you select.
- If you select a Downloads Enabled Player, anyone who plays the video or audio file or views the image on the page where it is embedded will be able to download the media file, its audio transcript(s), and any files attached to it. If you are embedding a video that was created with multiple recording inputs using either Kaltura Capture (opens new window) or the Record in Browser screen sharing feature (opens new window), viewers will be able to download each recorded video as separate files.
Add a file from the Shared Repository to a module.
Add a module, if needed.

If you have not yet created the module where you will add the link to the media file, follow the steps to add a module (opens new window).
Select Add Content.

Select the Add Content (+) button for the module where the media file will be linked.
Select Kaltura My Media or Media Gallery.

From the list of tools that appears, select Kaltura My Media or Media Gallery.
Select Shared Repository.

A Link Resource from External Tool dialog window will pop up. In this window, select the Shared Repository tab.
Search the repository.
- In the Search box, enter terms to search for files in the repository.
- By default, the search applies to All Fields, including the file's Name, Description, Tags, and Captions. You may use the Filters to limit the search results.

View and edit the Page Name. (Optional)

You will be taken back to the Add Item dialog for the module.
- Scroll down in the window to find the details about the link you will be creating.
- By default, the Page Name, which is the text of the link that will appear in the module, will have the name of the media file. You may edit this text if needed to make it clear to students what they will be accessing when they select the link.
Publish the link to the file.

Don't forget to publish the module (if it was not previously published) and the link to the media file using the Publish options in the Modules tool when you're ready to make the file available to students. For steps, see How do I publish or unpublish a module as an instructor? (opens new window).
